Ever since our income went up last year, I’ve been satisfied that we’re saving enough — more than 55% of our income. We have no debt, we have targeted accounts for irregular expenses, and we pay our credit card bill in full every month. We’re definitely doing well, but the more J.D. wrote about getting back to basics, the more I started to think that my reasoning was just a cop-out. He’s always a few steps ahead of me, it seems!


Tracking for peace of mind

Like J.D., I don’t like the “financial black box” of not knowing where our money is going. Did we spend more on groceries than usual this month? Approximately how much are we spending on gas? I have no idea!


I don’t need to account for every penny, but I’d like a general idea of how we’re doing. It’s too easy to dismiss expenses because we’re doing relatively well with our savings, or because we forgo a lot of extras like cable TV and eating out regularly.


Also, it’s less fun to spend money when I don’t track it. I believe that money is a tool, and that some of it should be saved for the future and some of it should be enjoyed now. But when I’m not exactly sure how much “fun money” we’ve been spending, it’s harder to enjoy spending it. Last week, for example, I made a couple of purchases and felt a little buyer’s remorse, but only because I worried that I was forgetting about other expenses. If I knew we’d allotted, say, $200 to freely spend, and I was within that limit, I wouldn’t have given the purchase a second thought. I could have just enjoyed it.


Past tracking attempts

I’ve tried more than once to stay on the money-tracking bandwagon. I tried Quicken, but it did so much more than I needed it to do and categorizing each expense and reconciling accounts got tedious (maybe the newer versions are more user-friendly?).


I tried Mint, but some accounts wouldn’t update, and there were major glitches that threw off my numbers in a big way. For example, my “personal items” category, which is under $50 each month, mysteriously showed more than $400, but when I tried to view the itemized expenses, the system would time out. When I added it up by hand, it was nowhere near $400. I contacted customer service, but after weeks of waiting, there was no fix and no help, so I quit using Mint. I tried again several months later, but one of my accounts updated so rarely that, again, it wasn’t worthwhile.


I feel like I’ve spent far too much time downloading, uploading, troubleshooting, and e-mailing customer service reps. Tracking my money does not need to be this complicated (though I thought using technology would simplify the process). No wonder I keep dropping the habit — it’s been tedious and time-consuming!


Keeping it simple

Starting February 1st, I decided I’d track my expenses again, but this time, I’m keeping it simple. No software, no web, no syncing — just a small notebook tucked in my bag. In it, I have a page dedicated to each spending category (groceries, gas, bills, etc.) and on each page I record the following information about each purchase:



  • Date

  • What I bought

  • Cash, check, debit card, or credit card

  • Running total for the month


I plan to keep the spending categories broad, since all I’m after is a general idea of where our money is going, and since a complicated system doesn’t seem to work for me in the long-term. I think that’s the key: Experiment until you find a system that works for you. That’s the only way you’ll stick to it. I quit when I got tired of uploads and downloads or when I encountered a glitch. But finding the right system takes trial and error, and I gave up too soon on something as important as tracking my spending.


I’m feeling good about the new plan, and I’ll report back after trying it out for awhile. Until then, what different methods have you used to track your expenses? What systems did you drop, which have you maintained, and why? And, more to the point, do you have any tips for low-tech expense tracking like I’ve been trying to do?

And where the planet’s electronics giants spend billions attempting to end piracy and patent infringement, pharmaceutical companies are rapidly adjusting to the fact that they only get 12 years before patent protection ends and other companies can introduce generic drugs. Imagine a situation where Windows 98 was already old enough to be forcibly open-sourced, and you get the idea of how disruptive that might be.


So, what does the pharmaceutical industry have to teach us?


First, be careful. Your property and ideas won’t be yours for long.

Third, the way money is being spent will inevitably change. It’s already happening: an issue addressed by the latest VC bulletin from Go4Venture, a London-based advisory group for European entrepreneurs and investors (you can sign up here). Their latest dispatch outlines the state of deal-making in Europe (more of them, but less valuable, as reflected in figures we wrote about last month), and they also point out Europe’s technology financing system is undergoing a significant shift:


[there is a] major structural change in European venture capital financing where corporates will play a more prominent role going forward. Corporates are facing a lasting ex-growth market environment (courtesy of debt-laden Western economies) and realise that internal R&D is rather expensive and just cannot cover the whole front of innovation.


For corporates, investing in start-ups has the added advantage of encouraging a more entrepreneurial culture inside and creating a stream of acquisition opportunities.


Pharma has been there before, in an early move precipitated by proprietary drugs coming off patent, and we are now seeing the pharma model spreading to other IP-driven sectors.


Spending more of the R&D budget on other companies doesn’t just mean acquisition, of course — although the startup world is very familiar with the process and it’s clearly the most common option. Just yesterday, Google spent $60 million making the slightly odd move to buy British price comparison website BeatThatQuote. It could also mean more early investment in small companies, like the $100,000 Microsoft is putting into Moscow-based anti-piracy startup Pirate Pay.


But what it does mean is, ultimately, the growth in the number of deals we’re seeing is going to get faster, and there will be more opportunities for innovative startups and smart entrepreneurs. Twinned with the aggressive, high valuation investing strategy of a company like Russia’s Digital Sky Technologies, it seems more likely than not we’ll see things explode, in Europe and elsewhere, over the next year or two.

Then we looked into our CrystalBall app to see what they might try next.



Facebook

Moneymaker: Warner Bros. just became the first Hollywood studio to stream movies directly on the social network. Facebook has been making a big move toward e-commerce lately, and the fact that you have to use Facebook Credits to buy movies and TV shows could be the tipping point to get users to hand their credit card info over to Mark Zuckerberg. Plus, studios looking for a way to stop Netflix's growth might not make Facebook suffer the same 28-day waiting period for new content.

Downside: At 30 credits (or $3) for a 48-hour rental for The Dark Knight, it will cost you. Plus, you have to "like" the movie or the director to get the privilege. Do you really want hundreds of your Facebook friends to see you "liked" and watched Valentine's Day on Valentine's Day?

What's next: Why should you use a credit card to buy Facebook Credits when you can use Zuckerbills (coming to a U.S. Treasury in 2020)?



Twitter

Moneymaker: In order to make money off its free iPhone app, this weekend Twitter introduced a number of new features, including Quickbar, a "forced trending topics bar" that includes promoted tweets — negating the idea of a service that quickly shows you what's actually trending.

Downside: Pundit John Gruber quickly dubbed the feature "Dickbar" after Twitter CEO Dick Costolo, but Gruber issued the unfortunate nickname on Twitter and it was widely retweeted. Advantage Costolo.

What's next: Can we pay someone to monitor our Twitter feed for us? It's getting overwhelming. Either that or design personalized lists of the best people to follow based on what's important to us, like updates on Libya and breaking bear-cub news.



Foursquare

Moneymaker: At SXSW this week, Foursquare is set to announce a partnership with American Express that will link users' credit cards with their Foursquare accounts. The incentive to consumers? Deals like "spend $5, save $5" at participating merchants. Although Foursquare said its motivation is to increase membership and loyalty and that it won't charge Amex for the privilege, it's hard to believe that will stay the case if it catches on.

Downside: We don't have an Amex card. And (confession) although we use the app for recommendations, we've never actually checked in anywhere. Sorry, Dennis and Naveen! But if they add other credit cards, we would.

What's next: How about a service that warns you beforehand if you're about to friend one of those compulsive people who check in with handfuls of people at name-dropping locales?



YouTube

Moneymaker: YouTube just closed a deal to buy Internet video company Next New Networks, the producers behind Auto-Tune the News, for less than $50 million. Although rumor had it that Google was trying to get into the video-production business, Business Insider reports that the move is actually designed to help existing YouTube partners make "more and better content." Which then leads to more users and, subsequently, more expensive ads.

Downside: Isn't YouTube's strength either grainy weird viral videos or pirated television, movie, and music content? The second could definitely use better quality, but does it even matter for the former?

What's next: How about veering into Hulu territory?



Skype

Moneymaker: Just regular old advertising on the Windows version of its paid video communications service.

Downside: Although Skype says it won't show ads during the video conferencing yet, this could devolve into a Minority Report-style advertising assault.

What's next: Would it be possible to embed microphone/receiver in our brain so we don't have to use the special headset? Just curious.



Update: TechCrunch makes an important clarification. Facebook hasn't announced its own streaming movie service. Rather the movie offering comes from Warner Brothers app that uses Facebook Credits' payment system. But if it proves successful and other studios follow suit, Zuckberg can still count on more personal credit card info coming his way. Someone better go tell Netflix's shareholders.

As Tax Day draws closer, many are looking for documentation and trying to figure out whether they are taking a deduction or credit for each item that they hope will bring a tax advantage.  Understanding the difference between a tax deduction and a tax credit is important — especially when you stop to consider that one is more valuable than the other.


Is That a Deduction or a Credit?


The difference between a tax deduction and a tax credit can be expressed by the way it affects your taxes.


Tax deduction:


This lowers your taxable income.  Deductions are taken before your final income is figured out.  There are different types of tax deductions.  The first is an above the line deduction, which takes place before you figure out your adjusted gross income (AGI).  You report your total income, and then subtract your deductions, arriving at your AGI.


The second group of deductions are taken from your AGI.  After you have figured out your AGI, you flip over your Form 1040, and begin taking other deductions.  You can choose to take the standard deduction, or you can itemize your deductions.  Add up what you would itemize (using Schedule A), and see if that number exceeds the standard deduction. You want to choose the larger of your itemized deductions or your standard deduction.


Your second round of deductions are subtracted from your AGI.  The result is your taxable income.  In many cases, your taxable income is thousands — or even tens of thousands — less than your actual income.  A tax deduction helps you by reducing the amount of money that you have to pay taxes on.


Tax credit:


After you have figured out your taxable income, you use that number to see how much you owe in taxes.  Your income can be found on the tax table, and that will provide you with how much you owe.  Once you know how much money you owe, you subtract the amount of money you have already paid in taxes, including money withheld from your paycheck and money paid in quarterly taxes.  Now it’s time to add in your tax credits.


The great thing about a tax credit is that it directly reduces what you owe.  This is a dollar for dollar reduction.  If you owe $1,000, and you have $500 in tax credits, you only owe $500 total.  Having a tax credits is like having a gift card meant to help you pay your taxes.


So, Which is More Valuable?


As you might imagine, having a tax credit is more valuable.  A tax deduction is helpful, since it lowers your taxable income, but it isn’t quite the same.  Your deduction might not be enough to knock you down a tax bracket, and it simply reduces the amount of money your taxes are figured on.  A $100 tax deduction isn’t worth $100, since it might only lower your taxable income from $55,000 to $54,900.  That makes a difference of $15 when you go to pay your taxes if you are married filing jointly.  (According to the IRS tax table, you would owe $7,416 and $7,401, respectively.)


A credit, though, translates directly into dollars saved.  If you have a $100 tax credit, you have a $100 tax credit.  It means that if you owe $7,401, and you apply the credit, now you owe $7,301.  Of course, if you have already paid your taxes, you could end up with a tax refund.  The Earned Income Credit and some other credits can result in the government owing you money after all is said and done.

Credit cards have had a bad rap in the press lately; some credit cards have increased their annual percentage rates and some have increased their fees.  Most have made at least a few changes to the way they do business thanks to last year’s CARD Act.  However, if consumers are responsible with what they charge on their credit cards and are disciplined to pay off their balances each month, there are many benefits to using a credit card.


Airline Miles Credit Cards


If you have excellent credit (above 750), you could earn two airline miles per dollar spent when using the Capital One Venture Rewards Card.  When you redeem your miles, there are no blackout dates.  For someone who flies frequently and/or uses a credit card frequently, this card may be the way to go.  In fact, Money Magazine named it “The best rewards card if you aim to rack up airline miles.”  Of course, there are a variety of airline mile cards out there, but be careful as many of them have restrictive rules which make actually redeeming the miles difficult. Gift Cards Rewards Cards


The US Bank Flex Perks Travel Reward Visa Card allows members to earn one point per dollar spent with a double reward on the one category you spend the most on (between groceries, gas and airline) each month.  Redeem 5,000 points for a $50 gift card to restaurants like Outback Steakhouse or for a $50 Visa gift card.  These make great gifts during the holiday season and will not cost you anything if you are responsible with using the credit card and use care not to buy more than you would with cash at any given time.


Cash Back Credit Cards


Who wouldn’t like to use their credit card and get rewarded with cash back?  Use the Discover More Card and get 1% back on all purchases after you spend $3,000 on the card (before that earn .25% cash back).  Also, enroll in the 5% cash back program to receive 5% cash back on designated purchases on designated months.  For instance, January through March 2011, earn 5% cash back on up to $800 for travel and restaurant purchases.


Gas Rewards Credit Cards


Offset the rising cost of gas with a card that gives you money back for gas purchases.  The True Earnings Card from Costco and American Express gives you 3% back on all gas purchases up to $3000.  It also offers 3% back on all restaurant purchases and no annual fee if you are a Costco member.


Credit cards are in the business to make money, but if you are diligent with the way you use your credit card, you may find that credit cards can actually save you money.  You can fly for free or at a significant discount, you can earn gift cards that you can use yourself or give to other people for birthday or holiday gifts, you can earn cash back on your purchases, and you can use the card to help offset the rising price of gas.  With the right research and self-discipline, you can make credit cards work for you.
